A destination wedding adds distance to every decision, and the menu is no exception. The good news is that the planning is largely a matter of asking the right questions early. This guide covers the ones that matter.

Start with the guests and the functions
List the functions across the wedding and the guests at each. Travelling guests often attend every event, so variety across days matters. Decide what each function needs: a relaxed welcome meal, a lively cocktail evening, a formal dinner.
Find out what the venue allows
Venues differ widely. Some have in-house kitchens or preferred caterers, some restrict outside caterers, and some limit open flame or cooking areas. Confirm the rules in writing before planning live counters or a specific menu.
Decide how much is local and how much is home
Some hosts want guests to experience the food of the destination; others want familiar flavours from home. Many choose a mix: a few local dishes at one function and the family's favourite menu at another. Your caterer can help balance this.
Think about season and setting
Weather changes what works. Heavy fried dishes in the heat and delicate chilled items outdoors in the sun both need thought, and live counters in the open need protection from wind and weather. Ask the caterer how they would adapt the menu to the setting.
Understand the logistics early
- How ingredients, equipment and staff will reach the venue
- Where food will be prepared, stored and kept at the right temperature
- Power, water and gas availability for counters
- Access for deliveries and set-up time before each function
- Backup plans if weather or timings change
Taste before you travel if you can
A tasting at home, before you commit and travel, saves surprises. If a tasting is not possible, ask for photographs and details of similar events the caterer has handled.
Communicate early and put it in writing
Distance makes clear communication essential. Agree the menu, counters, guest numbers, timings and responsibilities in writing, with a named contact on each side. Confirm final numbers as early as the caterer needs them.
